How onboarding works

Onboarding is structured discovery, not a configuration questionnaire. You don't need to walk in with a brand voice doc or an ICP doc. You show up with access; we run guided sessions that produce sharper artifacts than you'd write solo.
What you provide
- •Sending domain credentials: Postmark (we set up) or Gmail/Outlook OAuth via Composio.
- •CRM access (HubSpot, Salesforce, Pipedrive via Composio) for prospect import and activity logging.
- •LinkedIn account OAuth for connection requests and DM context (DMs stay manual; LinkedIn restricts the API).
What we co-create at onboarding
- •ICP spec. B2B: titles, company sizes, geographies, tech stack, recent triggers. B2C: demographic + psychographic profile, intent signals, lifecycle stage, purchase history shape.
- •Prospect-source preferences. B2B: LinkedIn Jobs + Crunchbase + Apollo + People Data Labs + intent vendors. B2C: your owned lists (email opt-ins, event attendees, prior buyers) + lookalike sources (when a relationship-graph integration is wired).
- •Relationship-graph access decision. B2B relationship-graph: Apollo + People Data Labs cover 90%+ of the prospect-enrichment surface. B2C relationship-graph (Facebook Graph and equivalents) is wireable but currently cost-gated; see the distribution roadmap.
- •Voice-note identity if you use them (when used vs email, signature sign-off).

Detect signals
B2B signal detection scrapes job boards (LinkedIn Jobs, Indeed, Greenhouse, Lever), Crunchbase for funding, brand-mention monitors across Reddit, X, LinkedIn, G2, Trustpilot, and tech-stack-change signals (BuiltWith, Wappalyzer). B2C signal detection watches event attendance, content downloads, abandoned-cart events, repeat-purchase windows, and list opt-ins from your owned systems. Every detected signal lands as a scored prospect.
Score and enrich
ICP-scoring rejects prospects who don't fit your buyer profile. Prospect-research enriches the survivors. B2B: Composio People Data Labs + Apollo (or direct profile fetch) for title, company, role, recent activity. B2C: enrichment from your owned data (lifecycle stage, purchase history, content engagement); broader lookalike enrichment when a B2C relationship-graph integration is wired. Output: a person, a triggering signal, and a fit score.
Draft
Outreach-drafting writes the first touch anchored to the actual signal the prospect tripped. No templates, no merge fields. Just a personal message that references what just happened in their world and what we can help with.
Approve and send
Drafts land in your queue. On approval the email fires through Postmark (or Gmail/Outlook when we've migrated). Follow-up cadence schedules 3-5 touches with signal-aware decay. CRM activity logs via Composio.

No. Cold email blasts a template to a scraped list. Helix Outreach starts from a buying signal, scores the resulting prospect against your ICP, enriches them, then drafts a message that references the specific event that brought them onto the radar. Reply rates run multiples higher because the messages are actually personal.
What signals do you watch?+
B2B: job posts (LinkedIn Jobs, Indeed, Greenhouse, Lever via Apify), funding announcements (Crunchbase), hiring clusters (org-level velocity changes), brand mentions (Reddit, X, LinkedIn, G2, Trustpilot), intent signals (G2, Capterra), and tech-stack changes (BuiltWith, Wappalyzer). B2C: owned-data signals (event attendance, content downloads, abandoned carts, repeat-purchase windows, list opt-ins) plus brand-mention sweeps across consumer-facing platforms. You can add custom signal sources at onboarding.
What about deliverability?+
We set up SPF, DKIM, and DMARC on your outreach sending domain at onboarding (usually a dedicated subdomain). We pace volume to avoid reputation damage. Bounce and complaint rates monitored weekly. Long-term we migrate to Gmail or Outlook via Composio for better cold-outreach deliverability.
Can you handle LinkedIn outreach?+
LinkedIn posts and comments are fully wired. LinkedIn DMs stay manual because LinkedIn restricts the API to Sales Navigator paid tier; we draft them, you click-publish. Connection requests are queued; voice notes are queued for you to record.
Will my CRM stay in sync?+
Yes. Composio toolkits for HubSpot, Salesforce, and Pipedrive let us push prospects, drafts, sends, and replies into your CRM as Contacts, Deals, and Activities. Sales reps see everything in their normal workflow.
